Purpose: The objective of this position is to collect incoming documents from JLL client’s customers and internal partners, sort physical documents for distribution to specific user locations, and these sorted documents to the appropriate location via scanner and computer.  This job requires assisting DMS (Document Management System) users with various issues as well as being backup to the Data Manager. 

 

Key Responsibilities:

  • Collect physical documents from designated locations within the building to be scanned into DMS.

 

  • Prepare physical documents for the scanner by removing staples, paper clips, creases, repairing torn pages, etc.

 

  • Analyze physical documents that are received for accuracy in order to prevent errors or mistakes

 

  • Assist DMS users with various issues such as locked or lost virtual documents.

 

  • File scanned physical documents with proper labels, record batches, monitor storage box count and prepare pick-up request to 3rd party storage facility when necessary.

 

  • Educates users on system functionality and provide assistance when necessary.

 

  • Monitor process agents and worklists, and correcting issues that have been discovered or reported.

 

  • Assist with recovering corrupt or missing documents.

 

  • Assist in miscellaneous facilities-related duties as requested by the Facilities Manager or DMS Data Manager.

 

  • Clean and maintain equipment including two scanners.

 

  • Maintain professional appearance of the DMS office

 

  • Replenish/recycle paper clips back to internal departments as needed

 

  • Provide front lobby coverage for Receptionist as needed

 

  • In the absence of the DMS Data Manager
    • Troubleshoot DMS software and interface issues
    • Identify and correct incorrectly routed documents
    • Report any system problems to ITO that cannot be addressed independently
    • Import daily virtual documents into DMS
    • Performs testing of DMS projects
    • Provides reporting to various departments via Access queries
  • Assist DMS users with various issues such as locked or lost virtual documents.

 

Job Requirements

Key Relationships:

  • Must be able to effectively communicate with end users of the DMS system including adidas, Reebok, and Rockport internal departments as needed.

Knowledge Skills and Abilities:

  • Good interpersonal skills.
  • Team player.
  • Good communication skills.
  • Computer skills – proficiency in MS Excel, Word, Access and MS Outlook required.

 

Requisite Education and Experience / Minimum Qualifications:

 

Associate’s degree from two-year college or twelve months related experience and/or training; or equivalent combination of education and experience
