Job Description
JOB SUMMARY: Responsible for the supervision of and/or processing, reporting, and analysis of financial data for a portfolio of plants owned by Bluewater Thermal Solutions (BWT, LLC).
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.
Forecasting and Budgeting
- Coordinate the monthly forecasting process with the site general managers and respective sales personnel
- Develop operating plan key inputs with General Managers by traveling to sites annually. Document assumptions on costs and cost improvements.
- Develop business plan tools and templates to help further improve and streamline the planning process.
- Interpret conversations with key stakeholders into meaningful financial data.
- Attend to attention items as received in mail, via e-mail, or direct interaction with plant personnel.
- Prepare any General Journal entries as needed per month and enter into MAS200 Accounting System
- On a monthly basis, review Trend Analysis Report for miscoding of invoices and to identify any invoices not received that may require an accrual
- Reconcile cash and manage cash postings, bank wire, ACH payments.
- Provide Staff Education, training, mentoring and evaluate staffing needs
- Assist GM’s and Director – Finance in ad hoc analysis
- Assist in implementation of tentatively scheduled ERP launch.
Assets
- Enter the Equipment in Process invoices on the individual appropriation worksheet
- Update monthly Construction in Process list
- Balance monthly and year to date CIP worksheets to GL accounts
- Send emails to GM’s asking if specific Appropriations are ready to be put into service as assets
- Update Combined Additions per year for any Assets ready to be “put into service"
- Create worksheets for retired assets if necessary
- Create worksheets for transferred assets when necessary
- Create General Journal entries for built, transferred or retired assets.
- Assemble the Asset packet & file
Payroll
- Post monthly payroll journals as received from third party supplier. Reconcile 401K deductions to One America, payroll reports, bank account, and general ledger for month
- Preparation of 401K Worksheet for Journal posting
- Set up accrual for hourly/salary employees wages paid in the following month
- Reverse previous month’s accrual for hourly/salary employees wages paid in the current month
Maintenance of Deferral System
- Ensure invoices to be deferred are entered into Access Database ensuring that Bluewater guidelines are followed with regard to qualifying invoices
- Post journal generated by Access Database to MAS200 accounting system
- Reconcile Deferred Expense System to GL prepaid accounts
Monthly Portfolio Requirements
- Post Depreciation Standards and perform reconciliation between MAS accounting software and FAS
- Record utility payments as made by CASS
- Reconcile and record monthly accruals for utilities, property taxes, etc.
- Ensure all intercompany related entries are posted and reconciled
- Prepare, key, and post General Journal entries as necessary and post to MAS200 Accounting system
- Print and review financial statements
Report Distribution
- Provide trend analysis to management on 2nd business day of close.
- Publish plant reporting package by 6th business day of close.
Other
- Prepare and submit Sales & Use Tax returns for all divisions, monthly, quarterly, annually
- Allocate time/resources to projects: on-going, priority items, updating files, maintaining data bases, payroll, HR, staff, systems, inter-plant correspondence/research, filing, organizing, staff meetings as necessary, IT issues/projects, etc.
- Complete special projects as assigned by management
- Seek educational opportunities and self-improvement for personal growth and development
Job Requirements
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
EDUCATION and EXPERIENCE: Four-year degree in Accounting or Finance. Knowledge of the fundamental doctrines, theories, principles and terminology of accounting. Computer experience (Excel, Word, and Windows) is required. Flexible, timely, accurate with a strong attention to detail. Analytical and problem solving skills with the ability to take initiative in complex situations. 2 years experience in manufacturing environment preferred.
LANGUAGE SKILLS: Ability to read, analyze, and interpret general business publications, professional journals, procedures manuals, governmental regulations, and financial documents. Ability to write business correspondence and other materials, as requested. Ability to communicate effectively, and in writing, with all levels of management.
MATHEMATICAL SKILLS: Ability to accurately apply concepts such as fractions, percentages, and ratios to financial situations.
REASONING ABILITY: Ability to solve practical problems, follow directions, and deal with a variety of concrete variables. Ability to interpret and respond to a variety of information furnished in various forms.
